Parent-Teacher Conference Agenda-Setting Template

Parent goes into teacher conference reactive and overwhelmed by bad news, unable to ask useful questions or partner with the teacher on next steps.

Parent-teacher conferences are high-stakes conversations about a child’s development and performance. Parents who show up unprepared tend to get defensive or shut down when they hear criticism. Teachers cannot help a child whose parents are not engaged. This template helps the parent prepare to listen, ask questions, and partner with the teacher.

Preparation transforms the conference from a judgment into a planning meeting.

Before the conference, write:

What do I want to know about my child in this class? (How they interact with peers. Whether they understand the material. What they are struggling with. What they excel at.)

What concerns do I have? (Bullying. Attention span. Falling behind. Anxiety.)

What do I want the teacher to know about my child? (They are anxious about tests. They have anxiety at home. They struggle with transitions. They are shy but thoughtful.)

During the conference, listen first. Do not defend. The teacher is reporting what they see, not making a judgment about your worth as a parent.

Ask questions:

“Can you show me an example of what you mean?”

“What does this look like in class?”

“What is one thing my child does well?”

“What is one thing we could work on together?”

“What can I do at home to support?”

“What is the next step if things do not improve?”

Do not assume the teacher dislikes your child. Most teachers care. They are telling you what they see so you can help.

Take notes. You do not have to remember everything in the moment.

Agree on one concrete step: the teacher does something, you do something, your child does something. A plan, not a complaint.

After the conference, talk to your child about what the teacher said without judgment. “Your teacher noticed you sometimes rush through your work. Let’s problem-solve that together.”
