Co-Parenting Communication Protocol Template

Separated or divorced parents struggle with unstructured communication about the child, and every message triggers defensiveness, misunderstanding, or conflict escalation.

Co-parenting without a protocol is an open loop. Messages are vague, emotional, or accusatory. The other parent becomes defensive. Decisions do not get made. The child hears the conflict. This directive creates a simple structure for what to communicate, when, and how.

It removes the emotional tone and replaces it with function: we are coordinating logistics and child information.

Co-Parenting Communication Protocol Template

Agree with the other parent on the following protocol. Write it down and both keep a copy.

Communication happens via text or email only for coordination. Voice calls are for urgent issues only.

Messages follow this structure: (1) What you are communicating (e.g., “Child has a dentist appointment”). (2) Relevant details (date, time, location, what the child needs to bring). (3) What you are asking (response needed by when, or just FYI).

Example: “Child has dentist appointment Thursday 4pm at Smith Dental. I am picking them up at school. Appointment is routine checkup. FYI.”

Messages do not include: criticism, blame, questions about the other parent’s judgment, or venting.

If something triggers you, wait four hours before responding. Then respond to the logistical fact only, not the emotion you read into it.

Topics: school, health, schedule changes, custody details. Not: parenting philosophy, the other parent’s relationship status, or past grievances.

If you cannot keep to the protocol during a conversation, end it: “I am going to step back from this conversation so we can talk about it calmly next week.”

Start this protocol this week. Text one logistical message about the child using the structure. Notice how it feels different than usual.
